Timecard rules

Napa · state compliance defaults applied · 1 location override active

Region: Arizona — compliance defaults applied. Threshold defaults follow this location’s Region setting on the General sub-section — Arizona uses the federal 40 hrs/week overtime rule and has no mandatory paid-break requirement. Change the Region and these defaults recompute.

Pay-period cadence + start day

Determines when the Hours tab's sign-off cycles fire and when payroll exports are available.

CadenceOwner approval required
Start day
The day of the week pay periods begin.
Current period preview
In progress: Apr 27 – May 10, 2026
Awaiting sign-off: Apr 13 – Apr 26
Signed: Mar 30 – Apr 12
Effective date
Defaults to next period start to prevent mid-period changes.

Overtime threshold

Brand default

Drives the Hours tab's overtime flag. Compliance defaults apply per the location's Region setting.

Threshold value
hrs
Time period
California requires daily OT ( > 8 hrs/day ) — automatically applied if Region = California.
Custom override
Set a non-state-default threshold. The system rejects values that loosen below the federal minimum (40 hrs/week); tightening below the state default should carry a documented reason.

Clock-in / clock-out tolerance

Brand default

Drives the variance pill on the Hours row plus late/early exception flags.

Clock drift — pattern flagging

Per-location only

When the same employee repeatedly clocks in early or out late, the cumulative cost adds up. Set thresholds here and the Hours tab will surface a pattern banner.

Drift threshold
min
How many minutes early/late counts as a drift event.
Occurrences to flag
events / period
How many drift events in a pay period trigger the banner.
Banner severity
Example: Threshold 15 min · 3 occurrences → if Jordan clocks in at 7:38a three times in the Apr 13–26 period (scheduled 8:00a), a pattern banner appears on their Hours row: “3 early clock-ins · +66 min cumulative.”

Missing clock-out detection

Brand default

Drives the clock widget's anomaly state and the Hours row's missing-clock-out exception.

Threshold
hrs after clock-in
Whichever fires first.
Or
2 hrs past scheduled shift end
(Read-only, derived from scheduled shift end.)
Auto-resolution prompt
After the threshold, prompt the staff member to set their clock-out time on next login. If off, missing clock-outs require manager-side resolution only.

Long-break threshold

Brand default

Drives the long-break exception flag on the Hours row plus the clock widget's break-state warning.

Threshold
min
Breaks longer than this flag for manager review.
State paid-break compliance applied
Arizona: no paid-break requirement.
California: paid 10-min breaks per 4 hrs worked apply automatically.
